State processing of Survey 5 student data for the 2001-02 school year finishes on
September 13, 2002

time for the final production stages of the 2001-02
SACRs
and
SPARs
. We hope this memorandum and the attachment,
Critical Dates
, will serve as an additional resource for you as you prepare these reports. All of the information contained
in this correspondence has been distributed already.
As noted, processing of the 2001-02 Survey 5 data is complete. By now, districts have pulled down the edit report to
allow for resubmissions to be made. On
October 4
, districts will be able to pull down preliminary school reports. The
data set name for this file is
DPSxx.GE.F63377.Y0102,
where xx is the district number. This data set will present the
actual reports for each district.
In addition, you may access a file presenting the data string for each school within the district via the data set
DPSxx.GE.F63377.DATA.Y0102
.
We are also working to provide a comma-delimited data file, which will have the data set name
DPSxx.GE.F63377.DELIMIT.Y0102.
This file will be in the same order as data file DPSxx.GE.F63377.DATA.Y0001,
except a comma will separate each field.
Note that the window for Survey 5 will reopen from
October 11-16
for updates to SACR data. Most districts have
traditionally sent the data to individual schools for review and verification. Data must be finalized by
October 16.
After
October 16
, the Department will process the final data. The reports will be made available electronically on
October 24
. According to SBER 6A-1.09982, districts must distribute SPARs to parents and other interested citizens by
November 15
. The format of the SPARs is a school or district decision.
Please note that the designated School Report Contact holds a pivotal role in this process. Although individual
responsibilities may be assigned to others, the School Report Contact should be acutely aware of all procedures and the
review of data, and should make sure that the lines of communication are open to everyone in the district who is a part of
the process.
