Instructions for Submitting Student Data Corrections
Accountability Measures 2003-04
The following details the procedures for the designated district accountability contact
person to submit data corrections to the Department of Education’s secure website. The
student data is currently available on NWDRC and the website will be available on
March 29, 2004, we will send more information on accessing the website and the URL at
that time.
Student Data Fixes: District review of student classifications and full academic year
status (matching survey 2 and survey 3) and submission of corrections. The final
deadline for district review and submission of corrections is April 23, 2004. Corrections
to this type of data will not be accepted later in the review process.
This process has two rounds to ensure the Department has correctly applied the
corrections submitted.
Round I Student Data Fixes:

Districts will download the data from NWRDC to review student data.
2.
Districts will use the attached excel spreadsheet and instructions to update
incorrect student data.
3.
Districts will upload the corrected student data in the excel spreadsheet to the
Department’s secure website beginning March 29, 2004, and finishing by April 9,
2004.
4.
The website will validate the student data as it is being uploaded. The website
will not accept data that does not meet the validation rules outlined in the excel
spreadsheet and the attached instructions. The district will receive an error
message on screen if the data is not validated and an error report will be
immediately e-mailed to the district contact person listed on the website.
5.
Districts will correct the invalid data and resubmit to the website. Only valid data
will be accepted and an onscreen message will confirm that the data has been
successfully uploaded.

The updated file will be posted on NWRDC for district to review and ensure that
the round I updates were correctly applied.

Districts have until April 23, 2004, to review and update the Student Data II file.

To help ensure a timely process, please note:
•
The due dates for information on all accountability measures are very firm. In an
effort to rollout the most accurate information possible in 2002-03, the first year
of AYP, due dates were extended and additional review and corrections were
permitted. This flexibility is not available to us if we are to meet the goal of
earlier reporting. Appeals to schools grades and AYP review requests will not be
accepted for student or FCAT data that was not corrected during these data
correction processes.
•
All data corrections submitted by the school district must be in the correct
electronic format specified by the Department. The process for submitting
corrections was discussed with your accountability contact person during
teleconferences on February 2 and 4.
•
Alternate assessment data for students with disabilities must be received by the
University of Miami for data processing no later than March 5, 2004. Alternate
assessment data for limited English proficient (LEP) students must be received by
the Department for data processing no later than April 12, 2004. The Department
will soon issue guidelines about the inclusion of LEP student data in AYP.
Once the Student Data fix process is complete, the Assessment (FCAT and alternative
assessment) file fix process will begin. Additional information will be sent to the
districts when the file is available, but the key dates are summarized below.

by the University of Miami for data processing no later than March 5, 2004.

Alternate assessment data for limited English proficient (LEP) students must be
received by the Department for data processing no later than April 12, 2004.
